Summary
Provides administrative and operational support to the Economic Development Department, with primary support to division chiefs and staff. Assists with office coordination, customer service, and departmental processes, while also supporting marketing and outreach efforts. Works collaboratively with the Economic Development Administrative Coordinator under the direction of the Deputy Director to ensure consistent administrative coverage and efficient department operations.
This is a part-time position, expected to work approximately 18–20 hours per week. Work schedule will vary based on operational needs and may include a combination of in-person and limited remote work, with an emphasis on in-person support.
Essential Job Functions
Administrative Support
- Provides administrative support to division chiefs and department staff, including scheduling, document preparation, and coordination of daily operations.
- Assists with general office functions, including records management, customer service, and administrative processes.
Communicates with internal and external partners to coordinate meetings and share information.
Office Operations
- Assists with processing budget, payroll, personnel, and purchasing actions.
- Maintains records and files, ensuring accuracy, organization, and confidentiality.
- Produces correspondence, reports, and other documents; proofs and edits materials for accuracy.
Marketing & Events Support
- Supports the marketing division with promotional campaigns, communications, and preparation of outreach materials.
- Assists with social media content, website updates, newsletters, and related communications.
- Coordinates logistics and provides support for marketing events, ribbon-cuttings, and community outreach initiatives.
Financial & Administrative Support (Backup)
- Provides backup support for departmental administrative and financial processes, including timesheets, accounts payable (AP), accounts receivable (AR), and budget tracking activities.
- Assists with processing invoices, tracking expenditures, and supporting payroll and timesheet coordination as needed.
Collaboration
- Works closely with the Economic Development Administrative Coordinator to support daily operations and ensure continuity of administrative functions.
- Receives work direction and prioritization from the Deputy Director and coordinates tasks accordingly.
- Provides backup administrative support to the Director and Deputy Director as needed.
- Performs other related job duties as assigned.
Qualifications, Knowledge, Skills, and Abilities
Education and Experience:
High School diploma or GED. Up to two (2) years of administrative or clerical experience; experience supporting events, marketing, or communications functions preferred.
Licenses or Certifications:
Valid driver’s license.

Knowledge, Skills and Abilities:
- Knowledge of general office procedures and administrative practices.
- Basic understanding of budgeting, purchasing, and office processes.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to learn and use department systems (e.g., MUNIS).
- Ability to organize work, manage multiple tasks, and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work well with others and provide good customer service.
- Attention to detail and ability to complete tasks accurately.
- Ability to assist with events, outreach, and basic marketing support.
